How to hand over a rental portfolio to a teammate
Prepare property records, outstanding work and document references before a holiday or a change of responsibility.

A handover is more than sending a folder and hoping the next person understands everything. The recipient needs to locate properties, recognise which information has been checked and know which issues require attention. The aim is to let them continue everyday work without reconstructing months of conversations or depending on the memory of the person who is leaving the role.
Define what you are handing over
Start with a list of property identifiers and a cutoff date. State whether the handover covers the whole portfolio or only selected properties. Explain what remains outside its scope and who handles that work. If several people manage the same building, do not identify a unit solely by its street address. A stable identifier connects the property record, agreement and tasks without relying on personal abbreviations that the new owner has not yet learned to recognise.
Summarise each file's status
Prepare a short view showing property status, the agreement reference and when the details were last verified. Separate confirmed information from outstanding checks. Do not copy every document into the summary: link to its authorised location. For example, “agreement located; contact details still need checking” says more than “all fine”. The recipient should immediately understand which information can support their next action and which details need additional verification before they rely on them to continue the work.
Make outstanding tasks actionable
Each open item should state the next step, its owner, an internal follow-up date and the reference needed to act. In a hypothetical example, “payment to review” becomes “compare the 8 October transaction with PROP-042's record; check on Friday; owner: operations”. Do not decide the outcome before reviewing the evidence. If someone else must make a decision, identify that person and the information they need. This prevents the new owner from interpreting an unclear note as permission to change a record.
Check access during the handover
Hold a short session in which the recipient opens a file, locates its document and finds an outstanding task. That walkthrough reveals broken links and locations that only work for the previous owner. Use the access mechanisms available in your tools and avoid sharing personal credentials. Do not assume every permission transfers when the responsible person's name changes. Confirm that each teammate can reach the information needed for their role, and that unnecessary access is addressed through the appropriate process.
Agree when the handover is complete
Set aside time for questions and record operational acceptance of the handover. Keep unresolved exceptions visible. The Rentcla property record can provide a shared reference, alongside the document locations and task process your team uses. After the first review, improve the details that were difficult to find. A useful handover leaves a system the next person can understand, not just a conversation that made sense to the people who happened to attend it on the day.
